Minutes of Meeting at Tied House on 6/11/08 at 11:45
In attendance: Robin, Hank & Howard
Overview of meeting with Action Items listed.
California Menu (sea bass & chicken are main courses) is what
we chose - what's the possibility of adding or substituting a
beef dish for the sea bass? Albert to call Julie to check on
and see if there is much of a price difference.
Hawaiian/Mexican theme - Hank has some decorations, does anyone
have any as well? Chevy's hats?
No one has volunteered for decorations for either day. Hank to
send out another email pleading for help. If no one volunteers,
it will be whatever we as the committee want to do.
Jane has hired the DJ (is this correct Jane?). We need to know if
we can use the DJ's sound system for Dave Banks as the MC. If we
want him to play any special songs we need to get him a list. Hank
to email classmates for requests.
Howard is getting 1-2 rooms for changing by the pool and it was
decided that someone to watch the rooms WAS NOT needed. People can
leave valuables in their car/room and we will supply plastic garbage
bags that they can put their clothes in and bring out by the pool if
they don't want to leave it in the room. Need someone to supply the
garbage bags, tape (to put their name on) and some sharpees (to write).
Do we need a lifeguard? Albert, were you going to contact someone that
the Cabana gave you a name of? Who will get the lifeguard? Can we just
say "Swimming is done at your own risk"? If we don't make a decision
then that will be the decision.
We have a minimum of 53 people signed up at $75 a head which puts us over
our break-even point of $3500 - all is good. Albert to get us a more
detailed break-down on where we stand financially.
There will be 2-3 laptops on display that will show slide-shows of our
past reunions. Hank to supply the laptops and to suggest the location
to put them at the Cabana. Hank will also look at bringing "Guitar Hero"
(a video game) and see if there is a convenient place to set it up.
Security of the gear is an issue, Howard has a computer lock that I can
borrow, does anyone else have a computer lock? Hank has the card tables
to be used for the computers and video game.
Hank also has the old scrapbooks that Robin made and will bring those to
put out on display. We will need a 8' table for this from the Cabana, can
someone reserve this needed table?
Howard will be doing name tags - not sure if he would like to put people's
HS picture on the name tag as well... didn't we do this once before? Jane,
I think your husband did this, yes? If so, can he send Howard the scanned
pictures that he used?
Cokes/water are $4, domestic beer is $7, a premium drink is $12 - Hank to send
out a 'sticker shock' warning to attendees so they'll be ready for the cost.
Howard to send me a list of RSVP'd teachers that I can then add to the web
along with the classmates that are attending.
On Sunday at Alpine Inn, Robin is planning on bringing two, 1/2 sheet cakes
(chocolate & vanilla w/ buttercream frosting) and either needs to store them
in refridgerators at Alpine Inn (Hank to ask) or put into two coolers (18"x24"),
does anyone have a cooler that we can use? If the weather is too hot, we will
skip the cake idea.
Hank to go to Alpine Inn by 6/25 with the following questions:
- Can we use the refrigerators
- Is there a way we can run a tab or hand out tickets (mainly to pay for teachers)
- Can we reserve an area
- If we can't reserve, how early can we get there to 'claim' our spot
(who will do this 'spot claiming'?)
- Do we have an idea of how many people will be coming to Alpine Inn
- Can we guesstimate how much money our group will be bringing in to Alpine Inn
are there any other questions I should be asking? If so, get them to me in the
next couple of days.
Hank to bring an easel with paper for the Trivia Bowl scoring (unless someone
has access to a 'white board').
We still need two more Trivia judges (Hank is one of them). If the next email
doesn't get me the needed judges then we'll look to committee members Albert,
Jane or Benny to fill the void (Robin will be videoing and Howard is the
Trivia MC).
It was felt that another meeting would not be neccessary unless the committee
members missing this last meeting felt we should have one. If we do, we
thought that meeting at Alpine Inn would be a good thought so we can scope
out that location. Otherwise, we'll communicate via email and phone and see
everyone at the Cabana on Saturday, July 12th at 4:00 for set-up.
